Behind the Build
Project Rome is more than a tracker—it’s a relationally aware process automation system designed inside Google Workspace. Built using Google Sheets, Apps Script, and Workday report data, it fills in the gaps left by larger systems—without adding complexity or cost.
As the creator, I combine:
- ✅ Google Workspace Business tools (Sheets, Drive, Apps Script)
- ✅ AI-assisted workflow optimization for faster prototyping
- ✅ Software development and relational database logic
- ✅ Compliance insight from 15+ years in HR and operations
This system works with what you already use—and makes it smarter, clearer, and compliant.
How It Works
System Logic
- Unique JobID Autofill: Pulls employee info from a Workday export
- Pay-Through Date: Auto-calculates based on effective termination date
- Status Tracking: Tracks approval stage (HR, Payroll, Finalized, etc.)
- Smart Notifications: Emails based on workflow triggers and deadlines
Automation Highlights
- Deadline Reminders: Alerts when within 3 days of key drop dates
- Email Logic: Notifies the right staff by transaction stage
- Zero-Cost Scaling: Built entirely with Google Workspace—no new licenses
- Relational Flexibility: Reusable across agencies and workflows
What It Solves
After a public audit uncovered over $151,000 in overpayments[1], it became clear the failure wasn’t in effort—it was in process visibility. Missing notifications, disconnected data, and manual tracking caused approvals to stall and deadlines to pass unnoticed.
Project Rome would have prevented this by:
- ✅ Catching missing steps early through workflow logic
- ✅ Sending proactive alerts before deadlines
- ✅ Logging status changes in real time across departments
The result? A process that creates clarity, accountability, and compliance—using the tools you already pay for.
